Club Manangement

Regular meetings between the Committee and its members are essential to the smooth operation of the Club and to ensuring an enjoyable experience for all children. Committees are elected annually at the Annual General Meeting, which provides an excellent opportunity for members to share ideas, offer suggestions, and contribute to the ongoing improvement of the Club.

As most Committee Members are parents, there is a natural cycle of turnover. Committee Meetings provide a valuable forum for identifying and engaging parents who are willing to contribute their skills and enthusiasm, including those interested in “shadowing” existing role-holders to support continuity. It is important for the Committee to be transparent with members about the Club’s needs whether financial support, access to equipment and resources, or assistance during weekly competitions and to express that any level of support is greatly appreciated.

Meeting Agenda Template

An Annual General Meeting (AGM) is a type of general meeting typically held within two months of the end of the season. During the AGM, committee members are elected, financial and committee reports are presented, and any amendments to the constitution or by-laws/regulations are considered. 

At the club’s Annual General Meeting (AGM), the reports of all club office bearers and executive members are presented, along with the audited financial statements. Together, these documents form the Club’s Annual Report, which must be forwarded to NSW Athletics each year during the reaffiliation period.

A key function of the AGM is the election of Club Committee positions. Recruiting a full Committee can be challenging, and finding individuals with the right skills, experience, or interest to stand for election can be even more difficult. To support Clubs in this process, we have compiled practical tips on attracting committee candidates, accepting nominations, and conducting elections effectively at your AGM.
